Policies & Terms

Please call to schedule your party 3-6 weeks in advance of your desired party date. We will do our best to accommodate any date request, however, the earlier the better for a smoother planning process. We can not guarantee your requested date and time and Storybook Character will still be available without full payment after an inquiry.

Payment

  • Payment in full is required upon booking online to secure your event date and time.  Until payment and agreement is received, your event date and details of your booking (date, time, duration, character) are not secured and can be booked by another client.

  • Details of the event cannot be changed. 

  • Late Bookings: Parties scheduled within 7 days of the party will be subject to a late booking fee of $30. 

  • Holiday Bookings: Parties scheduled on a holiday and Holiday weekends will be subject to a non-refundable holiday fee of $40 

  • Gratuity to the performer is always appreciated, Gratuity to the performer is always appreciated, and can be paid online at the time of booking or in cash to your performer on the day of the event. We ask that you do not discuss or give gratuity directly in front of children.

  • All of our cast members and employees work extremely hard to make your royal celebration one to remember. You are getting the best in the business and this small token of appreciation lets everyone know, you are thankful for the hard work they put into your celebration.

Booking

  • All events are reserved on a first come, first serve basis.

  • Once Upon A Tea Party reserves the right to refuse service based on availability, location, safety concerns or disorderly conduct.

  • In the case of extreme weather conditions, or other safety concerns, the host and One Upon A Tea Party will reschedule the event for a mutually agreed upon date. In the event of dangerous weather, serious illness, or other unforeseen emergencies, we reserve the right to cancel the event and offer an alternative date available or issue a full refund for the event.

  • All visits booked must be the minimum length of time traveled to get to the event location. Example: Travel 45 minutes to arrive at party location, can visit for a minimum of 45 minutes, no maximum restrictions. 

  • For the safety of our performers characters WILL NOT be allowed to perform outside in case of extreme heat & humidity of 85 degrees or warmer and 75% humidity or higher, or cold weather temperature below 55 degrees. If the weather is calling for a HOT/COLD day a text message will be sent the morning of the scheduled event to advise if the character can be outside for the duration of the visit. 

  • Due to the nature of the expensive handmade gowns character will not be able to perform outside after rain, wet surface, water activities, and or bubble machines. Characters will need a dry area free of mud and dirt. The host assumes responsibility or liability to damage caused to character costume.

  • Every and all parties must begin at the scheduled start time and end after the duration of the event. If your event duration goes beyond your scheduled time, the host will be charged an overage fee of $40/15 every minutes. 

  • Late booking fee - visit scheduled less than 7 days prior to the requested date of visit will be subject to a $30 late booking fee. (This will be emailed to you after your booking reservation has been received)

  • Holiday Booking Fee - visit scheduled on a holiday or holiday weekend a $40 holiday fee will apply. 

  • Bridges and tolls fee maybe applied at the time of booking if applicable.

  • All fees i.e. late booking fee, tolls and or parking fees, additional travel fee etc. if applicable MUST be paid in full at the time it is received or the visit is not completely booked and the Character will not be scheduled to visit.

Cancelation

  • If cancellation by Once Upon A Tea Party occurs, a full refund of your payment will be issued to the card used to reserve your event.

  • If cancellation by host, a reschedule within 4 months of original party date can occur as long as both Character/Date/Time is available. 

  • If cancellation by host, and no reschedule forfeiture of full payment will occur.

Requirements

  • When booking party host & adult guest make best efforts to keep ambient noise levels low and to make distracting entertainment, including but limited to a bouncy house and swimming pools off-limits - to children during the performance/visit. 

  • NO costume character entertainers from companies other than Once Upon A Tea Party, LLC at the event/party are allowed to attend the same event/party that Once Upon A Tea Party is attending, without prior written consent from Once Upon A Tea Party, LLC.

  • All  Characters require a Lady in Waiting or an assistant that will come to the scheduled party and assist with any activities as well as assist the character, for a smoother running celebration.

  • We are not responsible for bad behaviors and uncooperative children. We kindly ask that you monitor and attend to any child that does not want to participate so we can provide the best party experience for the rest of your guests. The host must be present at all times during the appearance.

  • ​Please save all questions not related to the character's performance before or after the appearance to the assistant to maintain character integrity. 

  • Our parties are packed with fun and follow a schedule.  Guests who arrive late may join the party at whatever point the party has progressed to.   

  • The Princess, Storybook Character, or Superhero appearance must last at least as long as the travel time to reach the party location. For instance, if the travel time is 1 hour and 30 minutes, the minimum duration of the appearance should be 1 hour and 30 minutes. In case the customer has booked for a shorter duration than our travel time and decides not to extend the booking to meet our requirements, we will refund 50% of the payment made, as this reservation has occupied a time slot on our schedule.

  • Our Character performers will travel to any location in ORANGE County, NY, and the surrounding area:  All character visits booked will endure a per mile, round trip fee that will apply. The distance is calculated from our home base "Castle".  Anything over 50 Miles is considered outside of city limits "Out Of Town" and a transportation fee will apply. This fee will be calculated on the booking form, if the calculation is not accurate, we will contact you for the remaining balance. Your visit will NOT be booked until everything is correct on the booking form.

  • Alcoholic beverages are prohibited around the character at all times. We kindly ask food, drink, and cigarette/vape, or other types of smoke not be permitted near the performer to avoid damage to costumes and wigs.

  • If you are having a pool or water party, please plan for children to be in dry clothing during interaction with the performer, and have separate space away from the pool or body of water where the activities can take place.

Photo Release

  • Host grants to Once Upon A Tea Party the right to take photographs and or video of the host, host family, and guest in connection with the above-identified event. Host authorizes Vendor its assigns and transferees to copyright, use and publish the same in print and/or electronically.

  • Host agrees that Once Upon A Tea Party may use such photographs of Host with or without said name and for any lawful purpose, including for example such purposes as publicity, illustration, social media, advertising, and Web content.

  • One Upon A Tea Party is not obligated to provide photographs and videos taken on the day of the booking to host.

Responsibilities

  • Client Obligation: The client is responsible for providing the following;

    • Safe, clean, area for activities

    • Gathering space for parents or the guest if they decide to stay for the duration of the party.

    • Please have the parent of the Princess of honor remain at the party at all times.

  • ​Damage: We understand that accidents can happen, however, the client may be held responsible for the excessive damage sustained to costumes and wigs of Once Upon A Tea Party, LLC.

  • Failure to comply with any of these terms may result in an additional charge issued by Once Upon A Tea Party via digital invoice. If payment of any additional charges accrued is not received within 30 days, the client will be contacted and the total amount will be charged to the card associated with the booking. 

  • All events, parties, and content of said events “Once Upon a Tea Party” are the exclusive intellectual property of the Owner and are not to be reproduced in any manner. 

  • Once Upon A Tea Party, its owner and employees assume no responsibility or liability for accidents, allergies related to food items, clothing, or makeup, injuries to the party guest, or property damage.  As professional event planners, we can assure you we will provide a safe and entertaining environment for your guests and will treat your home like a "Royal Palace".
